VOICEi2a helps organisations collect voice, convert it into text, and generate summaries, themes, and reports using speech-to-text and AI tools. We take privacy seriously, especially where the platform is used with students, community members, staff, or other identifiable individuals.

This page explains the basics of how privacy is handled in VOICEi2a and links to the more detailed documents that apply in different contexts.

Privacy at VOICEi2a

VOICEi2a is a platform that helps organisations collect voice recordings, generate transcripts, and produce AI-assisted summaries, themes, and reports.

We designed the platform to support reflection, feedback, insight gathering, and reporting. That includes use cases in schools, community organisations, not-for-profits, and businesses.

Privacy matters because voice data can be personal. In some cases, it can be sensitive. We aim to collect only what is needed, use it only for agreed purposes, and limit unnecessary identifying information.

What information may be collected

  • audio recordings
  • transcripts generated from those recordings
  • summaries, themes, reports, and other AI-generated outputs
  • basic account details such as name, email address, and organisation name
  • technical and usage information needed to operate, secure, and support the platform

What the information is used for

  • provide transcription and AI-assisted analysis
  • generate reports, summaries, themes, and insights
  • operate and secure the platform
  • provide account support
  • meet legal and compliance obligations

VOICEi2a is not intended to be used as a general-purpose database for sensitive personal records.

What should generally not be uploaded

Users should avoid including unnecessary personal details in recordings or uploads.

  • home addresses
  • dates of birth
  • names or addresses of family members
  • passport or government ID details
  • banking or payment details
  • medical, counselling, or other sensitive personal information
  • highly sensitive legal, safeguarding, or case-management information

The point is to collect relevant voice and insight, not every private fact available.

Who is responsible for the information

Where an organisation uses VOICEi2a to collect information from its staff, students, members, participants, or community, that organisation is generally responsible for deciding:

  • what information is collected
  • why it is collected
  • whether it is appropriate to use VOICEi2a for that purpose
  • what notices or consents are required

VOICEi2a acts as the technology provider processing information to deliver the service.

For platform administration, security, support, and account management, VOICEi2a may also hold limited information directly for its own operational purposes.

AI and speech processing

VOICEi2a uses third-party technology providers to:

  • convert speech into text
  • generate AI-assisted summaries, themes, reports, and analysis

These tools are useful, but they are not perfect.

That means:

  • transcripts may contain mistakes
  • summaries may miss nuance or context
  • reports may contain inaccuracies
  • human review is important before relying on outputs

VOICEi2a should not be used as the sole basis for high-stakes decisions about an individual.

Overseas processing

To provide the service, VOICEi2a uses cloud and AI providers that may process information outside New Zealand.

This means that recordings, transcripts, and related content may be handled in overseas jurisdictions depending on the service provider infrastructure used to operate the platform.

We aim to work with providers that offer appropriate security and privacy protections, but overseas processing always carries some additional risk and should be considered carefully by organisations using the service.

Retention

We aim to keep information only for as long as it is reasonably needed for the purpose it was collected for.

Unless otherwise agreed, audio recordings, transcripts, and AI-generated outputs are generally retained for up to 90 days and then deleted from the active application environment.

Some logs, backups, and technical records may remain for a limited period as part of normal security and system recovery processes.

Your options and rights

Depending on the context, individuals may have rights to:

  • request access to personal information
  • request correction of inaccurate information
  • raise a privacy concern or complaint
  • request deletion where appropriate

In many cases, the first point of contact should be the organisation that collected the information using VOICEi2a, such as a school, company, or community organisation.
