This notice explains how VOICEi2a may be used by companies, charities, clubs, community groups, and other organisations to collect voice input, generate transcripts, and produce AI-assisted summaries, themes, and reports.
VOICEi2a is a technology platform that records spoken input, converts it to text using speech-to-text technology, and generates summaries, themes, and reports using artificial intelligence.
Organisations use it to capture feedback, discussion, and insight from staff, members, participants, or communities — at a scale that would otherwise be difficult to manage manually.
The organisation using VOICEi2a — whether a company, charity, club, or community group — is responsible for deciding what information is collected and why. That includes deciding whether collecting voice data is appropriate, what purpose it serves, and what notices or consents are required before collecting.
VOICEi2a provides the technology that processes information on the organisation's behalf to deliver the service. VOICEi2a does not determine the purpose of collection or use your organisation's data for its own independent purposes.

VOICEi2a processes the recordings to deliver the service. It does not use the information for advertising, profiling, or sale to third parties.
Participants and users should avoid including unnecessary personal or sensitive details in recordings. The following types of information should not be included unless the organisation has a clearly lawful reason and appropriate authority:

When a recording is submitted through VOICEi2a:
AI outputs can be inaccurate.
Transcripts may contain errors. Summaries may miss context or nuance. Reports may not fully reflect what was said. All AI-generated outputs should be reviewed by a person before being used or shared.
VOICEi2a should not be used as the sole basis for high-stakes decisions about an individual, including employment decisions, performance assessments, or formal investigations.
Yes, in most cases. VOICEi2a uses technology providers that may process information outside New Zealand, including for transcription and AI analysis. This means recordings, transcripts, and outputs may be handled in overseas jurisdictions depending on the infrastructure of those providers.
Current core service providers include Base44 (platform infrastructure), Deepgram (speech-to-text), and OpenAI (AI analysis). These are US-based services.
We aim to work with providers that apply appropriate security and privacy protections, but overseas processing always carries some additional risk. Organisations with specific data sovereignty obligations should consider this carefully before using the platform.
Unless otherwise agreed, audio recordings, transcripts, and AI-generated outputs are generally retained for up to 90 days from the date of submission, after which they are deleted from the active application environment.
Some logs, backups, and technical records may remain for a limited period as part of normal system operations.
