This Privacy Policy explains how VOICEi2a handles personal information across the platform generally, including account information, uploaded content, service delivery, support, security, and third-party processing.

Users should avoid including unnecessary personal or sensitive details in recordings or uploads. The following categories of information should not be uploaded to VOICEi2a unless the organisation has a clearly lawful reason, appropriate authority, and explicit approval for doing so:
VOICEi2a is not designed or intended to be used as a repository for this type of sensitive data. If such information is inadvertently submitted, it should be reported so it can be reviewed and, where appropriate, deleted.

VOICEi2a does not use your information for advertising, profiling for commercial purposes, or selling to third parties.
Data reuse and model training are strictly separate from service delivery. Your data is never used to train AI models, improve VOICEi2a products, or for secondary analysis beyond your original session unless you have given explicit, separate, and informed consent for that specific purpose. See Section 5A below.
VOICEi2a is committed to a trust-first, non-extractive approach to data. The following rules apply without exception:
Default position — all reuse is OFF
No recording, transcript, AI output, or any data submitted through VOICEi2a enters any reuse pipeline, model training pipeline, or product improvement process by default. All such uses are disabled unless a participant has given explicit, informed, and specific opt-in consent.
What "explicit consent" means
For consent to data reuse to be valid, it must be:

VOICEi2a recognises that data from individuals, communities, and organisations — particularly Indigenous communities — carries cultural, relational, and political significance beyond its informational content. We are committed to ensuring that critical context and nuance are not stripped from data through processing, and that communities retain meaningful control over how their data is used.
Human-in-the-loop
Where AI processes data — particularly data relating to sensitive communities or high-stakes decisions — human review is required before any output is acted upon, shared, or used to inform decisions about individuals or groups. AI outputs are treated as drafts for human consideration, not authoritative conclusions.
Withdrawing consent
To withdraw consent for any data reuse, or to request that your data be removed from any pipeline, contact us using the details in Section 12. Withdrawal requests will be acted on promptly and confirmed in writing.
To deliver the service, VOICEi2a uses third-party technology providers that may process information outside New Zealand. This means recordings, transcripts, and related content may be handled in overseas jurisdictions depending on the infrastructure of those providers.

We aim to work with providers that apply appropriate security and privacy protections. However, overseas processing always carries some additional risk. Organisations with specific data sovereignty requirements should consider this carefully before using the platform.
We aim to keep information only for as long as reasonably needed for the purpose it was collected for.
Unless otherwise agreed, audio recordings, transcripts, and AI-generated outputs are generally retained for up to 90 days from the date of submission, after which they are deleted from the active application environment.
Account information is retained for as long as the account is active or as needed to provide the service. Some logs, backups, and technical records may remain for a limited period as part of normal security and system recovery processes.
VOICEi2a uses AI tools to generate transcripts, summaries, themes, and reports. These outputs can be useful but are not guaranteed to be accurate.
Specifically:
VOICEi2a should not be used as the sole basis for high-stakes decisions about an individual, including decisions about employment, student wellbeing, assessment, clinical care, or legal matters.
We take reasonable steps to protect personal information from loss, unauthorised access, use, modification, or disclosure. This includes encryption of data in transit and at rest through our platform provider, and access controls to limit who can view submitted data.
No method of electronic transmission or storage is completely secure. We cannot guarantee absolute security.

In most cases, where information was collected by an organisation using VOICEi2a (such as a school, employer, or community group), that organisation should be the first point of contact for privacy requests. VOICEi2a can assist where the request relates to account or operational information held directly by VOICEi2a.
